Welcome to the Otter Inbox app! This guide will walk you through how to navigate the app's key features and manage your messaging and reviews efficiently.
1. Signing In
To get started, you’ll need your user email and password. After entering your login details, you’ll receive a two-factor authentication (2FA) code via SMS to your phone number. Enter the code to verify your identity and opt-in to access the app.
2. Home Screen Overview
Once signed in, you’ll be greeted by the Home Screen, which displays:
- Your custom Otter Text phone number at the top.
- A sign-up link that you can share if needed.
- Data on your SMS and MMS messages sent for the current month.
- Analytics for your messages, subscribers, and reviews.
3. Managing Messages in the Inbox
To view your messages, click on Inbox in the bottom navigation bar. You’ll see two tabs:
- Open Messages: Active conversations that need attention.
- Closed Messages: Archived conversations that you’ve completed.
To move a message to the Closed section, click the three dots to the right of the person’s name and select Mark as Closed. This helps you manage and organize new and old messages easily.
If you need to respond to a message, just click on the person’s name. From there, you can:
- Reply to the message.
- Leave internal notes.
- Edit the customer’s details.
4. Managing and Responding to Reviews
In the bottom navigation, tap on Reviews to manage feedback. Here, you’ll find:
- A summary of your review data at the top.
- The option to switch between locations if you have multiple sites via the top-right menu.
- The ability to request reviews.
You can click on any individual review to read the full content and reply directly. Replies will be posted on Google, helping you manage your online reputation.
5. Contacts Management
The final section in the bottom navigation is Contacts. This section allows you to:
- Browse through your contacts.
- Search for specific contacts.
- Edit contact information as needed.
